Role Overview:

We are seeking a dynamic and detail-oriented Administrative Assistant for a full-time on-site role. As an Administrative Assistant, you will play a crucial role in supporting the daily operations of assigned properties, ensuring adherence to policies and procedures, and fostering positive tenant relationships. Your responsibilities will include providing assistance to the Building Executive or Manager, managing walk-in inquiries and support, supporting maintenance efforts and repairs, and handling essential administrative tasks.

Key Responsibilities:

  1. Property Operations Assistance: Support the daily operations of designated properties, ensuring smooth functionality and adherence to established policies and procedures.
  2. Service Fee Payments Handling: Receive service fee payments from property owners, ensuring timely processing and accurate record-keeping to maintain financial transparency and accountability.
  3. Compliance Management: Assist in ensuring compliance with company policies, industry regulations, and legal standards, contributing to the integrity and reputation of our properties.
  4. Tenant Relationship Management: Foster positive relationships with tenants through effective communication and proactive resolution of inquiries and concerns.
  5. Inquiry Handling: Manage walk-in inquiries from tenants and visitors, providing prompt assistance and support to address their needs effectively.
  6. Maintenance Support: Assist in coordinating maintenance efforts and repairs, liaising with vendors and contractors to ensure timely resolution of issues and property upkeep.
  7. Administrative Tasks: Handle essential administrative tasks, including but not limited to documentation, record-keeping, scheduling, and correspondence.
  8. Financial and Operational Support: Provide support in operations and financial reporting processes, assisting in data collection, analysis, and reporting as required.
  9. Vendor and Contractor Assistance: Effectively manage and assist vendors and contractors, ensuring seamless coordination and service delivery to meet property maintenance needs.

Qualifications:

  1. Experience and Expertise: Demonstrate experience and knowledge in commercial and residential building administration, ideally with a minimum of 2 years of experience in the property management industry.
  2. Organizational Skills: Exhibit strong organizational and multitasking skills, enabling you to effectively manage various responsibilities and prioritize tasks to meet deadlines and objectives.
  3. Interpersonal Proficiency: Possess effective communication and interpersonal skills, facilitating the development and maintenance of positive tenant relationships.
  4. Operational and Financial Acumen: Showcase experience with operations and financial reporting, illustrating your ability to contribute to data collection, analysis, and reporting processes.
  5. Software Proficiency: Proficiency in Microsoft Office applications and/or accounting management software is preferred, facilitating efficient execution of administrative and operational tasks.
  6. Property Management: Having some experience working in a property management company will be an added advantage.

  • Salary range: RM2,000 – RM2,500
  • Working hours: Monday to Friday (9:00am – 5:30pm), Saturday (9:00am -1:00pm)
